The 24-hour audit
For 24 hours, write down every task you or your team does that takes more than five minutes. Don't change anything. Just log. Use your phone. Be honest. At the end you'll have a list of 30–60 tasks.
Sort the list with three questions
Is it repetitive? Same shape every time? Strong AI candidate.
Is it bounded? Clear inputs, clear outputs, no judgment call needed? Strong AI candidate.
Does it not require empathy or live judgment? If yes — strong AI candidate.
Three yeses = automate it first. One yes = consider. Zero = leave it human.
The 80/20 truth
In most SMBs, 20% of your tasks consume 80% of your time. They're usually email triage, lead screening, content creation, scheduling, reporting, applicant screening, and routine customer support.
If you skip the audit and just add AI, you'll automate the wrong thing. The audit isn't optional — it's where the value comes from.
From your sorted list, pick the ONE task that scores highest AND would save you the most hours. Just one. We'll come back for the rest.
