The decision tree
Can ChatGPT/Claude do it with a good prompt? Use ChatGPT/Claude. You're done.
Does it need to happen automatically every time a trigger fires? Add Zapier/Make to call ChatGPT/Claude.
Is the general-purpose output too generic or too slow? Now consider a specialized tool.
Are you doing this 100+ times a day? Now consider a custom workflow or AI API.
Three real examples
Owner of a 15-person law firm wants AI to summarize client calls. Right tool: Otter.ai or Granola ($20/mo). Specialized wins because audio transcription is its core competency.
Med spa owner wants AI to write Instagram captions in her voice. Right tool: ChatGPT or Claude with a custom GPT trained on her past posts ($20/mo). General-purpose wins.
HVAC company wants AI to score incoming service requests by urgency. Right tool: Zapier + ChatGPT integration ($30–80/mo combined). Automation + general-purpose AI.
What to ignore
Ignore every "AI for [your industry]" tool advertised on LinkedIn for the first 6 months. They're almost always thin wrappers over the general-purpose tools you already pay for.
Build the muscle on general-purpose tools first. Specialized ones make a lot more sense once you know what you're actually trying to do.
