The 5 AI Tool Categories Every SMB Owner Should Know
The AI landscape feels overwhelming because everyone treats it as 1,000 individual tools to evaluate. It isn't. There are five real categories, and once you know them, the noise quiets down fast.
Category 1 — General-purpose chat (the workhorses)
ChatGPT, Claude, Gemini, Microsoft Copilot. They write, summarize, brainstorm, explain, classify, draft anything. Pick one. Pay for the $20/mo tier. Use it daily for two weeks — you'll discover 30+ use cases on your own.
Category 2 — Automation glue
Zapier, Make.com, n8n. They connect your tools together. "When a new lead fills the form, send it to my CRM, summarize it with AI, and Slack me if it's a good fit." Start with Zapier free tier. Build one workflow. Notice the magic.
Category 3 — Specialized AI tools
Otter (call notes), HeyGen (AI video), 11Labs (AI voice), Granola (meeting summaries). Each does one thing very well. Only reach for them when general-purpose isn't fast enough or specific enough.
Category 4 — AI baked into tools you already use
HubSpot, Notion, Calendly, Canva, Mailchimp, Square — they've all added AI features in the last year. Turn on the features in the tool you use most. Often free.
Category 5 — Agents (newest, most powerful, most fragile)
ChatGPT Agent, Claude Agent SDK, Manus, Lindy. Multi-step tasks autonomously — book travel, do research, fill out forms. Pilot carefully. Always with a human checkpoint.
If you only do one thing after reading this: pay $20/mo for ChatGPT or Claude, and use it every day for two weeks. Everything else follows from that habit.
