Cost — what you should actually expect to spend

  • Foundation: $20/mo for ChatGPT or Claude. Worth it on day one.

  • Automation: Free tier of Zapier or Make is plenty for most SMBs. $30–$80/mo if you scale.

  • Specialized tools: $20–$200/mo each. Pick 2–3 maximum.

  • Realistic monthly spend for a 20-person SMB doing this right: $150–$500/mo.

  • Return: If you're saving 8 hours/week at even $100/hr blended cost, you're netting $3,200/mo. AI ROI is typically 10–20x when implemented right.

Risk #1 — Hallucinations

AI confidently makes things up. Citations to articles that don't exist. Dates that are wrong. Facts that sound right but aren't. Rule: never let AI output go directly to a customer, a contract, or a regulator without a human reading it.

Risk #2 — Privacy and data leakage

Free public AI tools may use your input to train future models. Don't paste customer PII (names, emails, payment info, health data) into free tiers. Use the paid business tier when handling customer data. Read the terms once. Save the link.

Risk #3 — Tool lock-in

Tools change fast. The "must-have" tool of 2025 is the "shut-down" of 2026. Document your workflows in plain English, not in proprietary tool syntax. Then any tool can run them.
